Overview: We are seeking an experienced and proactive Office Operations Manager to support our leadership team and ensure the smooth operation of our office environment. This role requires a dynamic individual who can manage multiple responsibilities while maintaining a positive and organized atmosphere.
Key Responsibilities:
Executive Support:
  • Manage the calendar and schedule for the leadership team, ensuring efficient time management.
  • Handle digital correspondence, including invoice and documentation management.
  • Prepare and organize materials for meetings and events.
  • Act as a liaison between executives and other team members or external partners.
Office Management:
  • Maintain a tidy and organized office space, ensuring all areas are clean and well-stocked.
  • Oversee procurement of office supplies, refreshments, and equipment.
  • Greet visitors and clients with a warm and professional demeanor, representing the company positively.
  • Coordinate office activities and events to foster a collaborative and engaging workplace culture.
Receptionist Responsibilities:
  • Serve as the first point of contact for visitors, answering phones and responding to inquiries.
  • Manage the front desk, ensuring a welcoming and organized reception area.
  • Handle incoming and outgoing mail and packages.
General Responsibilities:
  • Develop and implement office policies and procedures to enhance efficiency.
  • Maintain an organized filing system for digital and physical documents.
  • Assist in onboarding new employees, providing them with necessary resources and support.
  • Address employee inquiries and support their needs, contributing to a harmonious work environment.
Qualifications:
  • Minimum 5 years of experience in office management and executive support roles.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both verbal and written.
  • Proficiency in digital documentation and office management software.
  • Fluency in Arabic is a plus.
  • Positive attitude, professional appearance, and a friendly demeanor.
